For this purpose, you need to use our feature LAST ROOMS OPTIMIZER.

You just need to go to SETUP and click on the relevant icon:

NOTE:

For clients already migrated to our magnetic rateplans version, this tool is available under HyperCommerce tab, by clicking on OPTIMIZE LAST ROOMS

This can be done for all weekdays or for specific ones, bearing in mind that this is a general setting that will apply to your whole calendar year. You cannot set this seasonally.

In addition, it will be possible to set up multiple channels at the same time by using the copy button.

Of course it will also be possible to just set up one channel when needed, by using the filter search option finding this channel will be possible.


Copy to All Week

When setting up the last rooms for one channel it will be possible to assign the rooms to the whole week. This can be done by editing one day, the day edited will be highlighted and the copy button will become available. Click on the copy button and select Copy to all week. Once this is done the whole week will be highlighted and the whole week will now have the same amount of rooms.


Copy to Selected Weekday

It is possible to set up a day with the same last rooms value for all channels available.

STEP 1: Just edit the weekday you wish, enter the amount you want and confirm it by clicking on the OK sign - 

Once the day is edited it will be highlighted and the copy button will become available.

STEP 2: Click on the copy button and select Copy to selected weekday.

Once this is done the column of that day will be highlighted and the weekday edited will have the same value for all channels.

Example:

Let’s say that on Monday all channels will have 7 last rooms available.

Only thing needed to be done to make this possible is to edit Monday and change the value to 7.

When this is done use the copy button and select Copy to selected weekday.

The Wednesday column will be highlighted and for all channels the Wednesday will have the 7 as last rooms available set.


Copy to All Channels

It is possible to set up all channels at the same time with the same value.

This can be done by editing one day, the day edited will be highlighted and the copy button will become available.

Only thing needed to be done now is click on the copy button and select the option Copy to All Channels.

All channels will be highlighted in order to show that all channels have been updated.


How will the Last Rooms Optimizer work

Let's do an exercise.

I want to save 5 last rooms to sell on all my Direct channels on Tuesdays and Thursdays, to do so I'll set the limit on the grid for those days and use the copy to weekday option.

My availability for this room is 8, so far nothing is closed.

A reservation for 3 rooms is meanwhile made with check-in on December 5 and check-out on December 7, dropping the availability to 5.

On the revenue for “All Channels” I can see the availability matching.

By changing the tab to “BookingButtonSapphireCoastSiteminder” or any other OTA, I can already see some changes:

  • Thursday is closed, because the limit I set before is matching the availability we have;
  • Tuesday has a new label, reminding me that for that day I had set a limit of 5;
  • Friday we did not save availability for Direct reservations, explaining why our 2 days reservation did not close December 6th.

In conclusion, every time the channel availability drops to the same limit that we set or below it, we will close those days, naming it - Closed by Last Rooms Optimizer.

Can I open a date that was closed by Last Rooms Optimizer?

No. Neither the hotelier nor a PMS can open a date that was closed by Last Rooms Optimizer Limit.

A top warning message will be shown.

Now, following that same example, let’s imagine that you closed sales for All Channels December 4th to 6th.

And then you try to re-open, again from All Channels, those same days.

You can indeed open 4 and 6 of December for the OTA, but the 5th will remain closed.

How can I open a day closed by Last Rooms Optimizer?

You can change the availability to one above the limit that was set, or remove that same limit on the last rooms optimizer.

When the Rooms saved for direct is updated a new publish is made to the channel, and the Close status is removed.

And what about the logs?!

All the updates done will be present on the “Review & Publish changes” modal:

and also when doing an AUDIT operation:

To complete the process always make sure you click .

Now go to REVENUE tab and make sure you PUBLISH the pending changes.

Only after that, your new allocation settings will be applied to the channels.


ATTENTION:

  • If an open sales is set manually (through revenue, range update, PMS..) for some date which is closed or if is sent a stop sales manually before availability get the sell limit value, this sell limit rule will not perform any more on this date.

  • Also if an open sales is sent for some date manually, this date will still be open even if the availability is lower than sell limit.

  • If the PMS sends availability lower than sell limit Guestcentric system will send a stop sales for the channel on this date

  • If availability is lower than the sell limit and a cancellation changes the availability to be greater than the sell limit again, then it will be sent an open sales for the channel on this date.

  • If the hotelier has configured a minimum contracted room on channel, GuestCentric will not send the stop sales.
